R3 Wound Care and Hyperbarics is seeking an Executive Assistant & Office Administrator to become an integral part of our dynamic and innovative healthcare organization You will be joining a team of professionals in the healthcare industry who hold themselves to a higher standard to be the best. You will be working daily with the Executive Leadership Team (ELT). You will be required to work in a fast-paced and busy work environment that is focused on completing tasks efficiently and accurately.

Duties/Responsibilities:

  • Performs clerical and administrative tasks including drafting letters, memos, agendas, reports, and other documents for senior staff.
  • Schedules, coordinates, and maintains appointments and meetings for ELT and their direct reports;
  • Schedule and prepare all travel arrangements for the ELT. Prepare and submit for review ELT travel and entertainment expense reports and ensure all reports are processed and filed in a timely manner;
  • Manage unexpected travel schedule changes and provide resourceful and creative solutions as needed;
  • Prepare ELT for key meetings, printing, scanning, emailing, storing, and retrieving documents;
  • Process and manage confidential material and information with a high level of discretion;
  • Manage critical reporting, including receiving data from clinics, entering it in a database, completing calculations, creating multiple tables and graphs, building several reports in different formats, distributing the reports, and looking for improvement opportunities.
  • Display expertise using the MS-Office suite to prepare documentation, decks, data, and other materials as assigned;
  • Organize the details of special events, travel arrangements, corporate agendas and itineraries;
  • Plan and coordinate corporate meetings, and develop presentations for related on and off-site meetings;
  • Manage inbound communication, including the management of office visitors;
  • Organize and maintain all executive data and files and ensure office supplies are fully stocked and maintained;

Requirements:

  • Bachelor’s degree in business administration or related field and/or equivalent experience along with 5 years of Executive Assistant or equivalent experience that provides the necessary skills, knowledge, and abilities.
  • Excellent oral, and written communication, problem-solving, project management skills, organizational skills, and ability to prioritize work while multi-tasking.
  • Must be able to collaborate effectively with people at all levels of the organization, from clinic staff to the Board of Directors.
  • Ability to use independent judgment and initiative and to anticipate the needs of executives and accomplish tasks without direction.
  • Excellent skills in proofreading documents for spelling, grammar, punctuation, and presentation.
  • Ability to exchange information clearly and concisely and to present ideas, report facts, and other information.
  • Proficient and experienced in Microsoft Office Suite, online travel reservation tools, expense management software, etc.
