Summary of Role Qualifications

The focus of this position is working with and through others, building and maintaining relationships, and working closely and accurately within established guidelines. There is a need for an effective communicator, someone able to stimulate and motivate others while being aware of and responsive to their needs and concerns. There will be many different people to meet and work with. The person in this position must be friendly and genuinely interested in attentiveness and accommodating patients, the clinic, and the daily agenda. A faster-than-average pace will be the norm for this position. Detail work is a major focus of the job, and those details need to be handled quickly, correctly, and efficiently. This portion of the work will often focus on relationships with teammates; proper handling of details dealing with patients, clinical director and other members of clinical staff. It’s imperative to maintain collaborative relationships. In general, this is a position where guidelines, structure, and established policies and procedures must be followed fairly and closely, while performing daily job duties and responsibilities.

Duties and Responsibilities

  • Responsible for greeting patients and visitors, answering phones and scheduling appointments in a professional and timely manner.
  • Process all referrals, faxes, and live calls from providers and patients promptly.
  • Clearing all voicemail and returning all calls within the same day
  • Contact insurance companies to ensure verifications of benefits and prior authorizations approval requirements are met.
  • Place outbound calls to patients to schedule appointments.
  • Review and maintain details of the referrals with patients including paperwork, expectations, and cost breakdown when needed.
  • Ensure complete and accurate patient registration, including patient demographic and current insurance information.
  • Obtain patient PCP referrals when necessary.
  • Works as a liaison between the clinical director, LVN and Hyperbarics technicians. and patients and completes tasks accordingly.
  • Coordinating referrals and providing “white glove” service to referral partners and patients
  • Maintain ongoing tracking and appropriate documentation on referrals, including entry in CRM database, EHR system and necessary reports.
  • Acquires and maintains knowledge and understanding to achieve company goals.
  • Order Office Supplies
  • Additional administrative duties as required.

Qualifications

  • Preferred 5 years of PCC/FDC experience.
  • 3 years Insurance verification
  • 3 years of scheduling experience
  • 2 years of self-pay experience
  • Prior experience working in a Healthcare customer service or patient scheduling role in a clinic, medical office, or hospital.
  • Keen eye for detail, organization, and prioritization skillset.
  • Proven ability to perform in an unpredictable, fast-paced environment.
  • Professional and welcoming communication and customer service,
  • Effective verbal and written communication skills.
  • Ability to establish processes in daily work efforts to accomplish completion of all tasks consistently.
  • Computer skills including knowledge of relevant software (Word, Excel, Outlook, etc…)
  • Current knowledge of medical laws, rules, and policies, such as Medicare, health insurance, and HIPAA (Health Insurance Portability and Accountability) a plus
  • Bi-Lingual a plus

Education and Experience:

  • High School Diploma or equivalent required.
  • Three to five years of proven successful experience in a front desk, front office or patient care coordinator role or relevant healthcare administrative support experience
